Suppliers Overview

Suppliers are an integral part of any businesses who purchase goods from wholesale Suppliers, to stock in their store.

Suppliers are a feature that can help to streamline your ordering process, and to make tracking products in a group much more simply and easy. Also, Suppliers can be used to add a standard markup to any products bought from them to speed up pricing and product entry.

Having a streamlined system to add, edit and delete Suppliers where necessary, are features that your point-of-sale solution will need to be able to handle. Thankfully, Uprow POS contains a robust Supplier management system.



How to Add a Supplier in Uprow

There are multiple ways in which you can add new Supplier in Uprow Inventory:

Create Suppliers from the Suppliers Module
Create Suppliers from a Transaction

Creating Suppliers from the Suppliers Module

     1.    To add a Supplier, go to your Purchase , then Setup , and click ‘ Supplier ’ on the sidebar.
     2.    Click on the +New Supplier Button

This will bring up this screen:

Field Details

Account Name - Specify the Supplier Name or Name of the company who supplies the items. 
Alias/ Short Name - Specify a shortened name of the Supplier, if any.

Description : This field is used for any additional information needed about the Supplier that isn’t covered elsewhere. This field is great for adding info on additional contacts, secondary phone or emails, or any other info needed.

Opening Balance: Total amount carried from the previous period of unpaid bills.

Type (Dr / Cr): Mention whether the opening balance is in debit or credit.

Account code: The Supplier account code is an optional field that does not appear on Purchase Orders, or even other records. If you are integrating with third-party programs, you may wish to add a account code as required by that specific program.

Communication details: Enter the basic information such as the name of the Primary Contact Name, Mobile No, Phone, Supplier Email and Physical and shipping address.
If the Physical Address is the same as the Mailing Address, tick the box.

Max Credit Limit - specify the maximum amount that you can borrow goods from the Supplier. 
 
Max Bill Amount   - specify the maximum bill amount that you can buy goods from the Supplier. 

Credit Period (in Days) - specify the number of days within which you will pay against your payable to the Supplier. 

 In the Finance tab , you can enter the tax details and bank details of your Supplier. 

GST Categories - Select the GST type if the Supplier is Regular/ composite/ unregistered. This will play a major role while filing GST returns.

GST State : Mention the state for your Supplier

State code - According to GST norms, State should be mapped mandatory for the Supplier. Based on the state mapped, GST will be calculated.  

GSTIN : If your Supplier is GST registered, then it is mandatory to enter the GSTIN of that Supplier.

GST Type : Mention whether GST type is CGST/SGST or IGST. CGST and SGST will be calculated if Supplier state and billing branch state is same. IGST will be calculated if Supplier state and billing branch state is different.

PAN No - Provide the PAN no of the Supplier. PAN Card is important for taxpayers as it is necessary for all financial transactions and is used to track the inflow and outflow of your money. It is important when paying income tax, receiving tax refunds, and receiving communication from the Income Tax Department.
 
Aadhar No - Aadhar no act as a unique identity as per Govt rule, everybody should possess aadhar card. 

In the Bank Details section you can mention the bank account number, Bank name and IFS code for the Supplier bank account.  

Create Suppliers from a Transaction Screen 

Let us take a scenario where you have filled out the invoice/order information but you haven’t created a Supplier earlier. However, in Uprow, you can create new Suppliers in the transaction page itself instead of discarding the changes. 
To create a Supplier from a transaction:
     •    Create a new transaction (Purchase order or Purchase Invoice).
     •    Press enter under the Supplier Name field.
     •    Press F7 or Click the Add New Button.
     •    Enter the basic information of your Supplier. For a detailed explanation on the fields involved,

     •    Click on the Save button to create the supplier and add it to your transaction.



How to Edit a Supplier in Uprow

To edit a supplier in Uprow, all you need to head to the Suppliers List View (Purchase > Setup > Suppliers, accessed via the Uprow menu), and select the Supplier you want to edit, click on the pencil icon to edit the supplier. 

This will open the page that you used to create the Supplier, with all the necessary details. Once you’ve completed your changes, click on SAVE to finalize your changes. 



How to Delete a Supplier in Uprow

To delete a supplier Uprow, go to the Suppliers List View (Purchase > Setup > Suppliers , accessed via the Uprow menu), and select the Supplier you want to delete, click on the bin icon to delete the supplier. 

A pop-up box will appear asking you if you want to delete the Suppler. Select OK .

Note*: You can not delete a supplier if there are any linked transactions for that supplier.
