Importing Products via Excel Files

When businesses move to Uprow POS, rather than manually creating all their data like – products, customers & suppliers – it is preferable to have all information stored onto a Excel spreadsheet. The spreadsheet can then be imported into Uprow.

This is a popular option for many businesses whether existing or new, especially when it contains many items.
When performing import into Uprow, retailers can :
Download Uprow’s file template and insert your existing data into the template’s fields.

On this page we’ll run you through the steps needed to import your Products list - as well as troubleshoot any errors that may arise during the process.

1. To begin, select Purchase from the Uprow menu.
2. On the Purchase submenu screen, click on the PURCHASE IMPORT TEMPLATE button.



3. Click on +Add New Button.



4. Write the template name and choose the department for which you want to make this template.

5. Choose the columns you want in your excel spreadsheet and move to allocated column in the right side one by one. You can select multiple columns by pressing ctrl key on your keyboard and selecting desired columns with mouse click. If you have moved any column to the right by mistake you can move it back again by selecting it and clicking left arrow button on your screen. 



6. Select all columns in allocated column by pressing ctrl+A and then press next button.



7. Allocate the data type to every field name whether it is Text, Numeric or Date. 



8. Press Finish and software will ask if you want to export the template you have created. Press Yes. This will commence the download of templatename.xlsx file.



9. Once the download has been completed, open the file.

The spreadsheet will appear as blank, except for the column headings that you will need to populate to successfully import your data across and instructions to edit the excel file.



From here, you will be able to fill in the columns with your inventory.

10. Once you have completed filling in your inventory, delete all the instructions in the excel and save the file. 
[Note*: There should be no blank row between column header and product rows]


 
11. Go to Purchase > Purchase Invoice screen. Press + Enter  Purchase button on upper right corner. 



   

12. Press Enter or Tab to select Supplier Name and then click on the three dots button on upper right corner of the screen. Select Import Purchase via Excel.

13. Choose the template you want to import and then upload the excel file you have saved with your inventory. 



14. Purchase In screen will appear. Here you can take the backup of the file data you have created before loading it. Press Load. 

15. Enter invoice No. and invoice amount. Press Save. It will ask if you want to print the barcode. Press either Yes or No as per your choice. 

If your status appears as showing errors, you will need to troubleshoot the problem
Your Products can now be viewed on your Products screen from the Uprow menu


Guide to Excel Spreadsheet Product Column Headings


This guide describes what each of the column headers on Uprow’s default template means. There are only four mandatory fields – Item Name, Item type, GST rate and HSN . The rest are optional.


Fields

Description

Item Name

This is the name of your product. Your product name can include letters, numbers and symbols. This is a mandatory field.

tem Short Name

This is the short name of your product.

Item Desc.

This is a description of your product. This field is used by Uprow Retail when searching. A good description is vital to searching items by keywords.

UPC/EAN

Standard barcode number found on many products. You can fill in this field by scanning the product's barcode. The UPC and EAN fields are numeric fields.

Barcode

This is the barcode number of your product. If left blank, Uprow will automatically generate one for you. If the barcode consists of only numerical values, Excel will convert it into scientific notation. To convert it to a whole number, check out our FAQ section.

Product Type

The type of an item determines if there are any other special characteristics you would like to track for the item.

Standard: An item with no attribute.

Matrix: An item with multiple attributes like brand, color etc.

Please write S for standard product and write M for Matrix product.

Item Group

An item group is a collection of products which share similar attributes like color, features or usage. Item groups can also be formed based on the markets in which they’re sold or if they’re similar in price. For example, if an iPhone is an item group, then items in that group would be iPhone 5, iPhone 6 and iPhone 6s.

Brand Name

The brand name of your Product – i.e. Nike, Gucci etc.

Basic Rate

Cost that you usually receive the item at. It is the amount which includes purely the purchase price of the items without including other amounts such as discount, tax, freight charges etc.

MRP

A maximum retail price (MRP) is a manufacturer calculated price that is the highest price that can be charged for a product sold in India. However, retailers may choose to sell products for less than the MRP.

Qty On Hand

Add how much inventory you have in store for the product

GST

This will automatically be your sales tax. However, you can change this anytime if you want from product modify page. 

HSN

HSN (Harmonized System of Nomenclature) contains six digit uniform code that classifies products. HSN code can be recorded for the item for GST compliance. These set of defined rules is used for taxation purposes in identifying the rate of tax applicable to a product in a country. 

As of Date

 As of date is the date upon which quantity on hand is considered to be counted. 

Tax Slab

Tax class the item falls under. Usually leave this to default but in some circumstances you may charge a different tax amount on items and you'll need to set a tax slab for them.

Tax Inclusive

Please write Y if the prices are inclusive of all taxes else write N

Base UOM

UOM (Unit of Measurement) is used to quantify items and to track inventory of the items e.g Pack

UOM Conversion Value

To map UOM to items you must have base UOM, Sub UOM and Conversion factor values

Sub UOM

 Sub UOM will be sub units like pieces in Pack e.g 10 pieces = 1 Pack

Batch Confirmation

Please write R if batch confirmation is required for this product else write N

Batch No.

Batch Number allows you to group and monitor a set of stock that share similar properties.

With Batch Number you can:

        ·         Track the expiration of items.

        ·         Trace defective items back to the batch that it belonged.

In Uprow, you will be able to record the items you receive as batches along with its manufactured date and expiry date. And later when you are looking to make a sale, you can safely pick items from those batches that are well within its usage period

Reorder Level

The reorder Level is the quantity at which this product will be auto-filled the next time you create a stock order containing the product.

Reorder Qty

The reorder amount is the default amount that you will order when your product hits its reorder point or level.

Check Negative Stock

Write Y if you want this product to be sold even when it appears as out of stock on Uprow, Write N if you don’t.

Disc Rs

 Discount in Rupees

Disc %

 Discount in percentage

Special Disc %

 Any type of special discount in percentage given over the basic discounts.

MFG Confirmation

Manufacturing confirmation is just to ask if you want to manage MFG date. If Manufacturing date is required please write 'R' and if not required write 'N'

MFG Date

 Please write manufacturing date in DD/MM/YYYY format

Expiry Confirmation

Expiry confirmation is just to ask if you want to manage expiry date. If expiry date is required please write 'R' and if not required write 'N'

Expiry Date

Expiry date is the date, as the name suggests, on which a particular product expires. Please write expiry date in DD/MM/YYYY format

Sale Rate

 Sale rate is the rate you want to sell your product at.

Item Subgroup

 In case there are a lot of items in business, companies usually group these by item groups. In some cases when there are thousands of items, these are further divided into subgroups
